Position Title: Library Clerk
Statement of Duties:|
Full-time position that is responsible for organizing and maintaining
accounts payable and receivable at the public library; also provides
coverage of Circulation Desk. Performs all other related work as
required.
Supervision:
Performs work responsibilities under the direction of the Library
Director, who provides general work goals and objectives and policy
direction. Incumbent performs day to day tasks with a high degree of
independence, and brings unusual situations and policy questions to the
Director for resolution; Incumbent decides most methods and practices for
completing work assignments, referring unusual or questionable issues to the
Library Director.
Job Environment:
Bookkeeping tasks are performed in a semi-private office area under normal working conditions.
Circulation desk duties are performed in a public service area that is busy, sometimes noisy, and with frequent interruptions.
The incumbent has frequent contact with the public for the purpose of answering questions at the Circulation Desk or via the telephone; has frequent contact with vendors regarding library accounts & orders; collaborates with other town departments on financial issues.
Essential Functions:
Prepares invoices for authorization of Library Director and Trustees following procedures set by the Town Accountant, and maintains records accordingly.
Collects and counts receipt of payment for overdue fines, copier fees, or other library transactions; prepares receipts for turnover to town following procedures set by the Town Treasurer, and maintains records accordingly.
Receives and inspects incoming packages for damage or shortages against packing list; distributes contents accordingly.
Provides coverage at the adult Circulation Desk, answering telephone and onsite requests; sorts and shelves returned materials; assists library patrons with various needs.
Operates standard office equipment, technology, and machinery, with
ability to perform basic trouble-shooting.
Other Functions:
Assists the Adult Services Librarian with Inter-Library Loan/System-Wide Holds transactions.
Maintains and orderly and accurate procedure for tracking overdue materials and notifying delinquent patrons.
Monitors level of office supplies and orders replacements under the direction of the Library Director; maintains current knowledge of discounts available through Massachusetts Regional Library System Cooperative and other sources.
Sorts mail and distributes to appropriate staff/departments.
Education & Experience:
Requires an Associates Degree in business or related field, with two
years of experience in an equivalent position. Previous library
experience preferred.
Knowledge, Skills, & Abilities:
Knowledge of computer software and systems including Internet,
word-processing, spreadsheet, and accounting applications; demonstrated
ability to work independently and set priorities for multiple tasks;
maintains confidentiality of library patron information; exercises good
judgment, courtesy, and tact in dealing with public, vendors, and other town
employees.
Physical & Mental
Requirements:
Work is performed in a busy library setting, subject to moderate
noise. Must be able to walk, sit, stoop, reach, stand, talk, listen,
and use equipment such as a computer, telephone, fax machine, and
photocopier. Must be able to retrieve library materials from stacks
for patrons quickly and easily. Normal vision requirements.
